Primary Purpose
Responsible for managing Hawaiʻi Island program staff and assisting in the coordination and tracking of specific programmatic tasks to achieve the goals and objectives of the program.
Essential Duties
Lead efforts with MAF Hawai‘i Island program staff as well as external agencies, vendors and other contacts as necessary to ensure delivery of the overall program and site activities in accordance with the mission and the goals of the organization
Visit program sites to ensure that activities operate within the policies and procedures of the organization and comply with professional standards
Supervise staff through regular review of performance and feedback
Maintain a clear and consistent line of communication with program staff and school administration as well as MAF administration
Maintain clear communication with office landlord(s) and site facilities; monitor facility leases and use agreements renewals or revisions in coordination with MAF administration
Work with the supervisor, program support staff, and external evaluator to gather data and complete interim and final reports
Research, compare, evaluate, and present clearly outlined options for project implementation, better workplace efficiency, and goal achievement
Maintain office electronics and application software, and coordinate installation of all office equipment with IT team
Work with staff to order, receive and prepare team supplies, and monitor office supplies and inventory
Assist with creating, revising, and overseeing operations manuals and policies and procedures as needed
Prepare, update and maintain documents, e.g., timesheets and PAFs, etc., as required for personnel management
Serve as the program safety contact to ensure that safety protocols are followed and staff are aware of any updates to policies and procedures
Coordinate professional development trainings
Ensure that invoices are paid on time
Coordinate and prepare materials for all team meetings, and record and produce meeting notes
Coordinate travel arrangements for staff
Assist team at site as needed.
Other Duties
Other duties as assigned including, but not limited to:
Completing all forms and documentations such as reports related to grant objectives; professional development evaluations, and daily logs.
Work Hours
Monday through Friday, 8:00am – 4:30pm or otherwise determined by the supervisor
Position requires regular and predictable attendance
Some nights and weekends may be required.
Working Conditions
Mainly office setting
Program sites at either schools or recreation centers, possibly cultural sites, service learning spaces, various event sites, meeting and professional development sites
Travel in program and/or personal vehicle to and from program sites
Travel to the neighbor islands and the U.S. may be required.
Equipment Use
Personal vehicle, MAF vehicles, computer and/or laptop, printer, scanner, copier, fax machine, office and/or work cell phone/Bluetooth, camera.

Must be able to cope with stress that may be induced by the situations of our clients
Physical:
Must be able to lift and carry up to 25 lbs. on a regular basis
Must be able to sit at a desk at least 75% of the time
May have to sit and work on the floor; kneel and bend.
Communication:
Must exhibit courteous and professional demeanor towards program staff, administration, and program partners via verbal, written, physical, and electronic correspondence
Must possess clear, concise and timely communication skills
Must be able to maintain confidentiality
Minimum Qualification Requirements
Education: Bachelor’s degree in Human Resources, Business Administration, or Management;
Experience: At least three (3) years supervisory experience;
Advanced computer skills and experience with online platforms, including a high degree of proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Google Suite, Apple, and PC products;
At least three (3) years of experience in administrative/office management role;
Knowledge of human resources management practices and procedures;
Must have access to a vehicle, have a valid driver's license, a safe and responsible driving record, and current no-fault auto insurance, with at least $100k in bodily collision per person and $25k in property damage liability.
